DATA PROTECTION POLICY
 
GENERAL DATA PROTECTION ACT 2018 (GDPR)
 
As the Group processes personal data relating to members in the course of the running of the Group, it has obligations under this Act.
 
Personal data means data by which members can be identified. Processing means collecting, recording, storing, presenting, altering and destroying.
 
The Secretary is the Data Controller for the Group. He/she is responsible for ensuring compliance with the GDPR and will deal with queries about data protection and respond to requests from members to access their personal data. He/she will inform committee members about the requirements for holding and using personal data.
 
The Group collects the following data: name, address, telephone number(s), email, scores obtained in in-house competitions, records of work shown and sold at exhibitions, permission to use images on the Group website, Group’s Newsletter, newspapers and other media and social media such as Facebook. Members may opt-out of receiving email notifications by contacting the Secretary.
 
Data is collected primarily via the membership Enrolment and Renewal forms. From time to time other information is collected to assist with the Group’s activities (e.g. titles and prices of work entered into exhibitions). The data collected by the Group is only for administrative purposes and promotion of the Group’s activities.
 
Personal data kept by the Group is recorded and stored in the paper enrolment and renewal forms kept securely by the Membership Secretary and the data extracted from such forms is stored electronically and hard copy prints for use of the committee.
 
Only the committee has access to this data. Each member has the right of access to their own data and may request it be altered or deleted. Data will only be altered at the request of the individual to the Membership Secretary.
 
The Membership Secretary and all Committee Members will destroy personal date held on paper and computer records two years after membership has ended or earlier if it is no longer required. All emails sent to the membership will be BCC’d to ensure contact details are not seen by the membership as a whole.
 
Personal data will only be used by committee members who need it to perform their designated function with the Group.
 
Personal Data will not be disclosed to third parties except where required or authorized by law or with the prior agreement of the member.
 
The Group will ensure that only consented personal data is placed on the Group’s website.
 
The Group will not make membership contact information available for electronic marketing.
 
The Group will refuse any request to cascade marketing material to members by electronic messages, but will distribute information regarding local workshops and exhibitions received through its membership of Bedfordshire Art Directory and any other Directory to which the Group may subscribe in the future. Members may request to be excluded from such distribution without affecting their receipt of other email relating to the running of the Group.
 
The committee will annually review compliance with this policy.
